How to create an impact report that drives real change

An impact report can become a tool for clarity, accountability and real progress. But only when they’re made with intention.

Why do businesses create reports?

Before gathering data or opening a design file, ask what the report is meant to influence. Who needs to read it, and what should change as a result? Is it meant to inform a board, build trust with clients, motivate your internal team, or communicate transparently with the public? A clear purpose keeps the report focused and stops it becoming a box-ticking exercise.

Respecting transparency

Since we began our B Corp journey, we’ve come to terms with the importance of transparency, not only for our stakeholders, but also for our industry. Every organisation affects the world differently, so a meaningful report should both highlight success, and examine the uncomfortable areas too. Concentrate on the areas where your work has real impact – socially, environmentally or culturally. Transparency builds credibility, and credibility is far more valuable than a perfectly tidy narrative.

Numbers for clarity, stories for connection

The foundation of any responsible impact report is accurate, well-explained data. Establish clear baselines, measure consistently, and be upfront about the limitations of what you can track. Your stakeholders, customers and audience will care more about your organisation if they understand where you’re coming from, which is why it’s important to share visually engaging stories.

You don’t need mountains of numbers. Fewer metrics, explained clearly, are more valuable than endless loosely connected stats. And when something hasn’t gone to plan, acknowledge it.

Data shows scale, but stories show meaning. Similarly with frameworks like sustainability goals or strategic models – these can help readers understand where your work fits into a broader landscape. Use short case studies, quotes, or glimpses into real work to give context to your numbers. These don’t need to be long or sentimental; they simply need to show the human or environmental outcomes behind your efforts.

Get collaborative

Impact isn’t one department’s responsibility, so neither should this report be. Involve people across the organisation – those who hold the data, those who work directly with communities or clients, and those shaping your future direction.

Design responsibly

Clean layouts, accessible language, and purposeful visuals that lets the content breathe. We avoid unnecessary flourish because digital work comes with a footprint. We can also create a lightweight version that’s fast to load and accessible to everyone who needs it.

Use your report to spark change:

  • Share it with your team first – get feedback.
  • Release it publicly via newsletter, website, social.
  • Track and follow up on the goals you set.
  • Ask for feedback as you go.

These reports can be more than an archive of what you’ve achieved, they can support your mission and guide you to look forward too.
